Pothos applies different retention rules depending on the type of information and your relationship with us.
How We Apply Retention Rules (Attorney Review Required)
- Some abandoned pre-email or minimized assessment records may be anonymized or deleted when they are no longer needed for the purpose collected, subject to applicable law and our operational needs.
- Identified assessment records may be retained when connected to a follow-up request, scheduling or contact inquiry, digital product purchase, Wellness Hub membership, active clinical care, legal obligations, safety review, or compliance requirements.
- Legal holds or preservation requirements may prevent deletion or anonymization until the hold is released.
- Clinical and client records may be subject to longer retention periods under professional, contractual, and legal requirements.
- Retention periods are subject to change as required by law, regulation, or counsel guidance.
Assessment Data (Attorney Review Required)
Assessment and screening data may be handled differently depending on whether it remains anonymous, is linked to an email or contact record, is connected to a follow-up request, scheduling inquiry, digital purchase, Hub membership, or active clinical relationship. We do not apply a single fixed deletion period to all assessment data.

Legal Holds and Required Records (Attorney Review Required)
When we are subject to a legal hold, litigation, investigation, or other preservation requirement, we may retain information beyond ordinary retention schedules until the hold is released or as required by law.

You may submit a Privacy Request to ask about access, correction, or deletion where applicable. We will respond consistent with applicable law. Some requests may be limited when records must be retained for clinical, legal, billing, or compliance reasons.
